Ask a café owner what a cappuccino sells for and you get an instant answer. Ask what it costs — after the last three milk price increases — and the room goes quiet. It is not carelessness. Between supplier invoices, unit conversions and busy service hours, keeping true costs current by hand is a job nobody has time for. So most food businesses run on last year's numbers and this year's prices.
The gap where profit disappears
Margins in food and beverage do not collapse in one dramatic moment. They leak. A supplier quietly raises a price. A recipe drifts from 18 grams to 22. Spoilage goes unrecorded because writing it down feels like admitting a mistake. Each leak is small; together they decide whether a month ends in profit or loss. And because the numbers live in a notebook — or nowhere — the owner finds out last.
Introducing Ingredients & Recipes
Today we are shipping Ingredients & Recipes, a full recipe-based inventory and costing system built into every NovaStores dashboard. The idea is simple: your menu should be connected to your shelf.
You list your raw materials once — beans, milk, cups, flour — and attach a short recipe to each item you sell. From then on, every confirmed order, whether it comes from your online store, your counter or the mobile app, automatically deducts the right amounts from your ingredient stock. You sell exactly as before. The counting happens on its own.
Costs that follow your invoices, not your memory
The heart of the system is how it handles deliveries. When goods arrive, you enter the quantity and the total you paid — straight from the paper invoice. Your ingredient cost re-blends automatically with what you already had, and every margin on your menu updates at that same moment.
This changes the timing of the truth. If your milk supplier raises prices, you do not discover it in a quarterly review — you see your latte's margin shrink the day the expensive milk hits your fridge. That is the difference between reacting in time and finding out too late.
Built for real shops, not perfect ones
Real inventory is messy, so the system is honest about it:
- Sales are never blocked. If your records say you are out of an ingredient but the shelf disagrees, the sale goes through and the count goes negative — a signal to check, not a lost customer.
- Counts take minutes. Type what is actually on the shelf; the difference is recorded as a variance you can review later.
- Waste is a first-class entry. Spoilage gets recorded in seconds, so it finally shows up in your numbers instead of hiding in them.
- Everything is on the record. Deliveries, sales, waste and counts all land in one permanent movement history, filterable per ingredient.
One dashboard, both worlds
Because this lives inside the same store as your products, orders and counter sales, mixed businesses just work. A bakery that also sells branded mugs keeps both on one menu — recipe items deduct ingredients, retail items behave as they always have.
Getting started
Ingredients & Recipes is available now. Once it is enabled on your store, an Inventory section appears in your sidebar: add your ingredients, attach recipes from the Recipes & Margins page, and record your next delivery when it arrives. From that point on, your menu tells you the truth about your money — every day, without being asked.
